Writing is a complex process that involves generating ideas, organising information, selecting appropriate language, and presenting content clearly for its intended audience. Although writers may possess strong writing skills, reviewing and refining one's own work can still be challenging. External proofreading or editing may be beneficial for several reasons.

Depending on the nature of the document, editing may address:

  • grammar and sentence structure;

  • vocabulary appropriateness;

  • academic or professional tone;

  • coherence between sentences and paragraphs;

  • transitions and logical flow;

  • repetition and redundancy;

  • consistency of terminology;

  • paragraph organisation;

  • readability;

c. Translation

Translation is carried out with consideration of the meaning, context, terminology, intended audience, and purpose of the source text. For academic or technical materials, attention is given to disciplinary terminology and consistency across the document. Translation is intended to communicate the meaning of the source text accurately rather than reproduce its linguistic structure mechanically. Translation services are available for the following language combinations:

  • English to Malay;

  • Malay to English;

  • English to Chinese;

  • Chinese to English; and

  • other applicable directions involving the stated languages.


For Chinese-language texts, Chinese characters are used as the basis for determining source-text length, where relevant.


d. Formatting

Formatting services focus on organising and presenting a document according to relevant institutional, journal, publication, or document requirements. The standard formatting service does not automatically include substantive correction of incomplete or inaccurate references, major reconstruction of tables and figures, extensive realignment of document content, or reconstruction of documents that substantially deviate from the required template. The scope may include:

  • page layout;

  • margins and spacing;

  • headings and subheadings;

  • table of contents for theses or dissertations;

  • numbering of tables and figures;

B. Procedures

The standard completion period is normally within two weeks, subject to document length, complexity, and current workload. Requests requiring completion within one week or within three days are treated as urgent cases and are subject to availability.   1. For proofreading, editing, and translation purposes, the length of a document is generally determined using the original source text.

  2. For English and Malay documents, you may use the Microsoft Word word-count function.

  3. For Chinese-language documents, we may use the number of Chinese characters where applicable.

  4. For formatting work, we may determine the final page count only after the document layout and formatting process is complete.


Documents that require extensive restructuring, major reference correction, substantial rewriting, or reconstruction of tables, figures, or formatting may need to be treated as specialised cases. The scope and completion of each request depend on several factors, including:

  • document category;

  • total length;

  • document complexity;

  • language pair;

  • quality of the original text;

  • technical or disciplinary terminology;

  • formatting requirements;

  • condition of citations and references;

  • complexity of tables and figures;

  • requested completion period; and

  • availability of the relevant institutional or publication guidelines.


C. Academic and Document Integrity

WeCWIIS proofreading and editing services are intended to improve the quality of written communication and document presentation. Proofreading and editing do not constitute authorship and should not involve generating or altering research results, fabricating information, or changing the substantive scholarly contribution of a manuscript.

The author remains responsible for the intellectual content of the work, including:
